Back Office Executive - Sales
About the Role
Synchronics Electronics is seeking a dynamic Back Office Executive to join our Sales department. As a trusted partner to India's manufacturing sector, we repair and service industrial electronics from 50+ global brands including Siemens, ABB, and Allen Bradley. In this role, you'll be the backbone of our sales operations, managing customer communications, processing service requests, and ensuring seamless coordination between our technical teams and clients. You'll work in a fast-paced, collaborative environment where your organizational skills and customer focus directly impact our reputation and revenue growth.
Key Responsibilities
- 1Manage high-volume incoming and outgoing customer calls with professional communication, addressing inquiries about repair services, quotations, and service timelines
- 2Process and prepare sales documentation including proforma invoices, quotations, work orders, and service agreements with accuracy and attention to detail
- 3Handle customer escalations professionally and diplomatically, finding solutions while maintaining service quality standards and client relationships
- 4Coordinate with technical teams to provide accurate status updates to customers and ensure timely delivery of repair services
- 5Maintain comprehensive email communication logs and customer records, ensuring all documentation is organized, accessible, and compliant with company procedures
- 6Support sales team with administrative tasks including order processing, follow-ups, and customer database management
- 7Identify opportunities to improve processes and customer experience through feedback and collaboration with colleagues
Requirements
- Minimum 3+ years of experience in back office or customer service roles within the service industry
- Proven ability to handle 50+ customer calls daily while maintaining professionalism and accuracy
- Strong knowledge of sales terminology including proforma invoices, quotations, work orders, and service agreements
- Excellent written and verbal communication skills in English with professional presentation standards
- Experience with email management systems and CRM tools (or willingness to learn quickly)
- Demonstrated capability in negotiation, customer handling, and conflict resolution
- Strong organizational skills with ability to manage multiple priorities and deadlines simultaneously
